Privacy Policy
Last updated: October 24, 2026
The short version
- Your recordings, transcripts and notes never leave your iPhone.
- The AI that writes your notes runs on your iPhone. There is no cloud AI.
- No account, no ads, no tracking, and we never sell or share your data.
- The app sends only anonymous usage statistics, crash reports and what is needed to sell you a plan.
Who we are
Private Notes (on the App Store: Private AI Note Taker) is provided by RLabs d.o.o., Ljubljana, Slovenia ("we", "us"). This policy covers Private Notes. If you switch the app to the Shortcast podcast mode in Settings, the Shortcast privacy policy applies to that mode. You can reach us at [email protected].
What stays on your iPhone
Everything you create in Private Notes is stored only in the app's storage on your device:
- audio recordings,
- transcripts, summaries, key points and tasks,
- note titles, and your language, engine and appearance settings.
Transcripts and notes are created on your iPhone, either by the Private AI (open models, OpenAI Whisper for speech and Google Gemma for notes, running locally) or by Apple Intelligence on your device. Neither sends your audio or text anywhere, and we never receive it.
If you use iCloud Backup or back up your iPhone to a computer, your notes are part of that backup, which is managed by Apple or by you. We have no access to it. Deleting a note, or the app, removes it from the app.
What we don't do
- We don't require or offer an account.
- We don't show ads.
- We don't track you across other companies' apps or websites, don't use your advertising identifier, and don't include advertising SDKs in Private Notes.
- We don't sell or share your personal data.
- We don't send your content to any AI provider or cloud service.
What the app does send
AI model download
If you use the Private AI, the app downloads its models once from Hugging Face (huggingface.co), where they are publicly hosted. Like any website, Hugging Face receives your IP address and standard request information for that download. If you use Apple Intelligence, iOS may download language files from Apple.
Anonymous usage statistics
To understand what works and what doesn't, the App Store version of the app sends usage events to Google Firebase Analytics and to Amplitude. Examples include which screen you reached, which plan or engine you picked, how long a recording was, its language code and how long processing took, together with your device model, iOS and app version and a random app-installation identifier. These events never contain your audio, transcripts, note text or titles.
Crash reports
If the app crashes, Google Firebase Crashlytics receives a technical report (device model, iOS version, where the app failed) so we can fix it.
Purchases
Apple processes all payments; we never see your payment details. To unlock your plan, the app uses RevenueCat, which receives your App Store receipt and a random app user ID. With Apple's AdServices framework, RevenueCat may also receive a token telling us which Apple Ads campaign, if any, led to a download. That token does not identify you.
Microphone
The app uses the microphone only while you are recording, and the audio stays on your iPhone.
Legal bases (EEA and UK)
We rely on our legitimate interest in keeping the app working and improving it (usage statistics and crash reports), and on performance of a contract to sell and unlock your plan. Everything else happens on your device and is not processed by us.
Keeping and deleting data
Usage statistics and crash reports are kept only as long as needed to run and improve the app, under each provider's retention settings. Because we don't know who you are, we can't link this data to you by name. If you want it deleted, write to us and we'll help as far as we can identify it.
Your rights
Depending on where you live, you may have the right to access, correct, delete or restrict the processing of your personal data, to object to it, and to complain to a data protection authority (in Slovenia, the Information Commissioner). Contact us at [email protected].
Children
Private Notes is not directed to children under 13, and we don't knowingly collect data from them.
Changes
If we change this policy, we'll update this page and the date above. Significant changes will also be announced in the app.
